Minimum Position Qualifications

Bachelor’s degree in relevant area and two years of appropriate experience. Relevant experience may substitute for required education.

Special Conditions

The department is especially interested in candidates with Outlook expertise and case management experience.

Work Schedule

Monday – Friday
8:00 a.m. – 4:30 p.m.

Must be available to work a flexible schedule, including some evening hours and weekends as workload demands.

While performing the duties of this job, the employee is regularly required to sit; use hands to handle, or feel; and talk or hear. The employee frequently is required to walk. Job Duties

Duties & Responsibilities

Supports Office for Institutional Equity in a variety administrative capacities, including greeting visitors to the department and serving as first point of contact for complaints received via e-mail, walk-ins or telephone, processing initial intake of information, responding to routine questions, managing busy multi-line telephone system, directing calls to other departments as necessary, taking and communicating messages to appropriate staff member, and checking voicemail intermittently throughout the day and forwarding/responding appropriately.

Duties & Responsibilities

Enters data & maintains electronic case management system for case classification, assignment, monitoring, and processing through close of an investigation. Retrieves information/data from databases as requested.

Duties & Responsibilities

Sends notices to parties, schedules interviews for investigators, and maintains investigation interview schedule. Responsible for handling third party complaints and ensuring appropriate referrals for same.

Maintains and updates compliance calendar and completes all periodic reports/surveys for review before submission to appropriate external agency. Types and proofs correspondence, scans and prepares documents as exhibits for various external reports, as well as assist in preparing and completing documents, forms and requests for information from various internal and external parties.

Schedules Office for Institutional Equity trainings and other training initiatives as well as maintaining PowerPoint presentations and other training materials/supplies used in delivering training i.e. training attendee logs, business cards, and presentations on thumb drives, etc.

Coordinates logistics for special events/activities to include reserving rooms, ordering food, preparing materials, ensuring proper room and/or location set up, etc.

Maintains office supplies, assists with purchase orders and communicates with Office for Institutional Equity staff when additional supplies need to be ordered.
